TERMS & conditions

1. Our Role

Ballerz Abroad organises football and sports experiences, including but not limited to:

  • Professional club training experiences

  • Friendly matches and tournaments

  • Stadium tours and cultural activities

  • Accommodation coordination

  • Ground transport and logistics

  • Liaison with football clubs and suppliers

2. Flights & ATOL Protection

Where flights are included as part of a booking:

  • Flights are arranged via a third-party ATOL-licensed travel partner.

  • ATOL protection applies only to the flight component of the booking.

  • An ATOL Certificate will be issued by the licensed travel partner, detailing exactly what is protected.

  • All other elements of the tour (including accommodation, training, matches, transport, and activities) are not covered by ATOL unless explicitly stated.

Ballerz Abroad does not issue ATOL certificates and does not provide ATOL protection for non-flight elements.

3. Financial Protection (Important)

Except for flights booked via an ATOL-licensed travel partner as outlined above:

  • Ballerz Abroad does not provide ATOL, ABTA, or ABTOT protection for the tour as a whole.

  • Clients acknowledge and accept this position at the time of booking.

4. Travel Insurance – MANDATORY

Comprehensive travel insurance is compulsory for all participants.

Insurance must cover, as a minimum:

  • Medical expenses

  • Cancellation and curtailment

  • Sports participation (including football training and matches)

  • Personal liability

  • Loss or theft of personal belongings

Even where flights are ATOL protected, travel insurance remains essential to cover:

  • Illness or injury

  • Cancellation for personal reasons

  • Disruption not covered by ATOL

  • All non-flight elements of the tour

Ballerz Abroad reserves the right to:

  • Request proof of insurance prior to travel

  • Exclude participants from activities if adequate cover is not in place

No refunds will be given in such circumstances.

5. Booking & Payment

  • A booking is confirmed once a completed booking form and the required deposit have been received.

  • The lead booker is responsible for:

    • Collecting payments from group members

    • Sharing tour information

    • Ensuring all participants comply with these Terms & Conditions

Payment schedules will be outlined in the booking confirmation.

6. Pricing & Changes

  • Prices are based on supplier costs, availability, and exchange rates at the time of quotation.

  • We reserve the right to amend prices due to:

    • Currency fluctuations

    • Supplier price increases

    • Changes in group size

Any material changes will be communicated promptly.

7. Cancellations by the Client

Cancellation charges may apply depending on supplier terms.

Unless otherwise stated:

  • More than 90 days before departure: loss of deposit

  • 60–89 days: up to 50% of total cost

  • 30–59 days: up to 75%

  • Less than 30 days: up to 100%

No refunds will be given for unused services or late arrivals.

8. Changes or Cancellations by Suppliers

Football clubs, venues, and suppliers may amend schedules, venues, or services due to:

  • Fixtures and competitions

  • Weather conditions

  • Operational requirements

Where changes occur, Ballerz Abroad will endeavour to provide suitable alternatives. No refunds are guaranteed for supplier-driven changes beyond our control.

9. Behaviour & Conduct

Participants are expected to behave responsibly at all times.

Ballerz Abroad reserves the right to remove any participant from the tour (at their own expense) due to:

  • Dangerous or disruptive behaviour

  • Damage to property

  • Failure to comply with local laws or instructions

10. Liability

Ballerz Abroad acts as an organiser and intermediary.

We are not liable for:

  • Injury, illness, or death

  • Loss or damage to personal property

  • Acts or omissions of third-party suppliers

  • Delays, cancellations, or force majeure events

Nothing in these Terms excludes liability for death or personal injury caused by our negligence where prohibited by law.

11. Force Majeure

We are not liable for failure to perform obligations due to events beyond our reasonable control, including but not limited to:

  • Natural disasters

  • Pandemics or epidemics

  • War or civil unrest

  • Government or travel restrictions

12. Complaints

Any issues must be raised as soon as reasonably possible during the tour to allow resolution.

Formal complaints must be submitted in writing within 28 days of return.

13. Governing Law

These Terms & Conditions are governed by English law, and any disputes shall be subject to the jurisdiction of the courts of England and Wales.

14. Acknowledgement & Acceptance

By confirming a booking, the lead booker acknowledges that:

  • Flights may be ATOL protected via a third-party licensed travel partner

  • The overall tour is not ATOL or ABTA protected

  • Comprehensive travel insurance is mandatory for all participants
